Provides recruiting coordination and administration support for the EMEA and APAC offices. Supporting a Recruiting and Talent Development team.
Key Responsibilities
- To work as part of a busy Recruiting and Talent Development team, providing assistance for the recruitment and development of all trainee/non-qualified lawyers up to and including Counsel in the EMEA and APAC offices.
- Helping assist in early careers attraction and shortlisting events including law fairs, insight days and assessment centres.
- Responding to and recording speculative approaches by candidates and agencies.
- Managing the ‘International Recruiting Inbox’ and ‘Graduate Recruitment Inbox’ and screening Training Contract applications.
- Assisting in scheduling interviews and meetings across different time zones. Booking meetings rooms or organising video conference details as appropriate.
- Adding and updating candidate details on the ATS and collating feedback following interviews.
- Ensuring the smooth transition of all candidate details to Human Resources ahead of onboarding, along with managing any needs around conflict and background checks.
- Assisting with scheduling and coordinating training and development courses and events outside of the US. Attending sessions as appropriate to ensure their smooth running.
- Project work, for example helping collate data around salary benchmarking and benefits.
- Assisting with processing invoices and expenses.
- Advanced IT Skills in Microsoft Word, Excel, and PowerPoint. Ideally experience using an ATS system, preferably Lawcruit.
- Strong interpersonal skills are needed to work with a wide range of personnel and contacts outside the firm. Must demonstrate excellent communication skills (both written and oral) to effectively support and represent the Recruiting and Talent Development team.
- Ability to multitask, demonstrate superior prioritization skills and ability to work well under pressure in the team’s fast paced environment, while maintaining good perspective on the larger picture/impact.
- Must possess and exercise discretion and good judgement daily, particularly when handling confidential and/or sensitive employee information.
- Must be able to work with a high degree of independence.
- Ability to work overtime in the evening and/or on weekends is required.
- Good academics required.
- At least two years of administrative experience in recruiting/HR or L&D.
