The Facilities Assistant plays a critical role in supporting the Facilities department. Working within a fast-paced office environment, you will be part of a team responsible for ensuring smooth operations across a variety of facilities tasks. The role requires versatility, as you'll frequently switch between tasks to meet the needs of internal stakeholders. You must be proactive, organised, and adaptable, with occasional weekend work expected.
Key Responsibilities
- Process and distribute incoming post at the Appold Street office.
- Handle franking, printing, and dispatch of post (special, recorded, and international)
- Investigate unidentified mail using internal systems.
- Book outgoing courier services for same-day, overnight, and international packages.
- Receive, log, and distribute incoming courier deliveries.
- Maintenance of the basement storeroom, ensuring cleanliness and order.
- Deliver paper to printers and restock stationery cupboards as needed.
- Manage stationery orders and maintain adequate office supplies.
- Set up furniture and AV equipment for social hubs and meeting rooms.
- Handle document scanning, photocopying, and reprographics tasks such as binding.
- Coordinate with offsite storage facilities for sending and retrieving boxes.
- Log and track tasks via the helpdesk system.
- Support office moves and relocations.
- Operate the Building Management Systems (BMS) for the Appold Street office.
- Perform additional ad hoc duties as required.
- Proven experience in a facilities or office maintenance role, ideally in a professional services environment.
- Conscientious, organised, and professional.
- Strong attention to detail and a methodical approach to tasks.
- Excellent interpersonal and communication skills, with the ability to engage with individuals at all levels.
- Proven ability to manage a varied workload, prioritiseeffectively, and meet tight deadlines.
- Ability to handle tasks requiring heavy lifting.
- Flexibility and adaptability to support different aspects of the role.
- Proficiency in Microsoft Word, Excel, and Outlook.
- Familiarity with office equipment, including photocopiers and scanners.
