The team
We’re looking for a proactive and detail-oriented Casting/Contracts Assistant to support our Head of Casting/Contracts and Casting/Contracts team. In this pivotal role, you'll ensure the smooth running of the casting process and artist contracts, working behind the scenes to help bring incredible talent to the screen.
The role
From liaising with agents to checking actor availability, preparing scripts for auditions, and managing self-tape submissions, to drafting contracts and maintaining vital records, no two days will be the same. You'll also be at the heart of audition days—welcoming actors, managing schedules, and ensuring everything runs like clockwork. Role Responsibilities
- Checking and penciling actors' availability with agents.
- Pulling scenes from scripts ready for auditions.
- Setting up auditions and/or self tape requests.
- Downloading/ uploading/ editing audition tapes.
- Using 'Spotlight'. (a bespoke actors website).
- Strong working knowledge of Excel (setting up and supporting spreadsheets).
- Assisting with running auditions (meeting and greeting).
- Drawing up contracts on the ITV artist contracting system and ensuring they are signed promptly to avoid late payments.
- Maintaining ITV's internal VAT/ Talent Payment records by ensuring the information is correct and up to date.
- Responding to Production queries regarding Cast contracts.
- Working with and understanding industry agreements (Pact, ITV, Netflix etc).
- Booking extras on occasion.
- Minimum of 2 years administrative experience (ideally in either TV, theatre, film or Arts organisation, however this is not essential).
- Minimum of 5 GCSEs (Including English and Maths).
- High level of competency on Google mail and google docs (sheets/docs/slides).
- High level of competency on Word and Excel (setting up and supporting spreadsheets).
- Experience dealing with highly confidential information/material.
- Ability to use tact and diplomacy, maintaining complete discretion at all times.
- Flexible attitude to working hours.
- Keen attention to detail.
- Excellent written and verbal communication skills.
- Using initiative, ability to work undirected and flexibly.
- Knowledge of Dropbox and IMovie is desirable.
- Knowledge of Spotlight is advantageous.
- Strong organisational skills with a systematic approach to working.
- A proactive approach to ensure task completion.
- Ability to work under pressure and to tight deadlines.
- Strong team player.
- Good time management skills with the ability to work unsupervised.
